JOB DESCRIPTION:

FMF is seeking a professional and customer-oriented Community Center Receptionist. The Receptionist will play a crucial role in providing exceptional service to beneficiaries and visitors of the community center. The receptionist must have excellent communication skills, knowledge about CP and GBV cases, strong organizational abilities, and a compassionate approach to assisting individuals in need. As a Community Center Receptionist, you will be responsible for various administrative tasks and ensuring the smooth operations of the front desk.

RESPONSIBILITIES:

  • Receiving beneficiaries at the front desk of the community center by greeting, welcoming, directing and announcing them appropriately – Maintaining visitors’ logbook.
  • Register new visitors (KOBO form) and scheduling appointments for them for direct service delivery.
  • Provide the visitors by basic information about the community center services.
  • Provide clerical support functions to the Community Center.
  • Based on basic information collection, conduct a quick screening for the cases for categorizing, filtering and referring to social workers for social assessment and case identification.
  • Direct and accompany the cases to the concerned social worker or specialist (lawyer, psychologist, psychiatrist).
  • Ensure that all urgent cases are detected and directly referred for assessment of possible immediate intervention.
  • Renewing all the community center’s offices’ labels.
  • Inform visitors about the CC complaints and response mechanism and its hotline services – providing numbers to be called.
  • Maintaining the reception area clean, quiet and well organized.
  • Documentation and Reporting: Assist in maintaining accurate records and reports related to visitor statistics, inquiries, and appointments. Ensure that data is entered correctly and in a timely manner.
  • And any other relevant duties as required.

POSITION REQUIREMENTS:

  • Working experience in a humanitarian/recovery context (PROTECTION).
  • Demonstrated familiarity with case management principles, standards and procedures.
  • Readiness to commit and adhere to the values, mission and vision of FMF.
  • Very good written English and ability to write good quality reports.
  • Excellent interpersonal and communication skills.
  • Excellent analytical skills, observation and analysis capacity.
  • Very strong interpersonal skills: strong communication and diplomatic skills.
  • Ability to deal with heavy work pressure.
  • Self-motivated, results-driven and excellent sense of organization.
  • Advanced computer skills in MS Office programs, particularly Excel.
  • Attention to details, accuracy and structured way of approaching task
  • Documented results related to the position’s responsibilities.
