Background
FMF is a non-profit and non-governmental organization aiming to provide health, nutrition, food security and protection services as a humanitarian response to the escalating socio-economic situation in Yemen since 2012.
KEY RESPONSIBILITIES AND DELIVERABLES
- Ensure data collection from community-based committees.
- Ensure the regular, timely and accurate entry of beneficiary registration into the database, as well as follow-up to update the relevant information of the protection activities.
- Compiling, verifying accuracy and sorting the data according to priorities to prepare source data for computer entry.
- Reviewing the data for deficiencies or errors, correct any incompatibilities if possible and purging files to eliminate duplication of data and check the output
- Document all registered beneficiary and compile all forms according to the procedures, and information management needs.
- Produce monthly, disaggregated statistics and qualitative updates of progress on the program activities work.
- Produce and update information products such as reports, charts, info-graphics and other visual materials.
- Ensures the databases are formed to be reflecting the required information and consistent.
- Regularly and systematically obtain information of nutrition project, achievements
- Editing, cleaning, updating, and compiling periodically received data.
- Assisting in the establishment and maintaining project documentation, filing system and archiving
- Appling data program techniques and procedures, generating the reports, storing the completed tasks in designated locations and performing the backup operations.
- Assisting in design, develop and maintain databases.
- Assisting in daily office operations copying, printing and other things as requested
- Undertake field trips to project sites as required
- Scanning documents and print files, when needed
- Performing other duties as requested by supervisor.
- Ensure that the relevant reporting formats (CPDR, CMAM, SCREENING Reports) are updated and submitted to the Information Management Officer on timely basis.
- Develop any required data for the program activities and program staff as relevant.
- Any other duties as assigned.
Other Tasks:
- Assisting Information Management Officer in preparing the needed data, documents and reports related to WFP project.
- Assist the IMO in organizing and managing the data input and analysis.
- Assist the IMO in producing a monthly report
- Following the existed achieving system within FMF and making sure all the finalized documents are archived (hard copies & electronically).
- Submitting the requested daily, weekly and monthly reports.
- Preparing the required documents of distribution and working together with the field team to check the distribution process is going smoothly and making sure all problems are being solved.
- Conducting the tracking process of the commodities waybills on monthly basis and making sure it is scanned and entered to WFP system.
- Handling WFP complaint system and making sure that all complaints have been remarked and reflected in the system.
Assisting IMO in preparing the requested reports and any tasks related to WFP system.
Essential Requirements
- Bachelor’s degree in IT, Computer, Statistics or relevant field
- 1-2 years of Data Entry experience related to development and humanitarian sector
- Excellent experience in using Microsoft Excel and word
- Excellent report writing skills.
- Excellent computer skills, including Microsoft Office, Database Management System.
- Excellent English language skills
- Evidence of organizing and servicing meetings
- Demonstrable commitment to gender-sensitive practices
- Evidence of ability to work co-operatively with others to meet tight deadlines.
- Comply with all relevant FMF policies and procedures with respect to child protection, workplace environment, employee code of conduct and all other related subjects.
