ABOUT FMF:

The Field Medical Foundation (FMF) has been operating in Yemen for since 2012 during even the most dangerous peak of the conflict in the region. Our staff of dedicated professionals and passionate volunteers are the helping hand that delivers aid from local and/or international partners to those who require it the most, in a country that was already suffering before the war. Today we have helped humanitarian aid reach the hands of more than 9 million vulnerable people in Yemen to help them not only to survive but also to rebuild their lives. POSITION SUMMARY

Data Management Officer is responsible for managing, organizing, an safeguarding all health project data, ensuring timely collection, cleaning, validation, archiving, and reporting. The role supports project implementation through developing and maintaining databases, strengthening data quality standards, producing analytical dashboards, and ensuring smooth information flow between field teams, MEAL units, and project management. The officer plays a key role in ensuring accurate reporting to donors, supporting decision-making, and maintaining a well-structured data archiving system.

MAIN DUTIES AND RESPONSIBILITIES:

1- Data Collection & Entry

  • Receive, compile, and verify data from health facilities, field teams, and project reports.
  • Enter data accurately into project databases, Excel sheets, Kobo systems, and other data platforms.
  • Review, validate, and clean data to ensure accuracy, completeness, and consistency.
  • Update records regularly to reflect new information, corrections, and project progress.

2 – Database Management

  • Develop and maintain structured databases (Excel/Access/KoBo/other approved tools) for all project indicators.
  • Ensure data security, backup storage, and proper filing of soft & hard copies.
  • Organize and archive forms, beneficiary registration sheets, and source documents in a traceable system.
  • Support development of data collection tools and digital forms (Kobo/ODK/Google forms etc.).

 3 – Data Quality Assurance & Analysis

  • Conduct routine data quality checks (verification, cleaning, cross-checking).
  • Generate summary statistics, dashboards, charts, and periodic analytical reports.
  • Provide updated datasets and analysis to the Project Manager and MEAL team for reporting and decision-making.
  • Support monitoring of project progress against targets and indicators.

 4 – Reporting & Information Management

  • Prepare data inputs for donor reports, monthly/quarterly project reports, and internal updates.
  • Lead the monthly Health Cluster reporting process, ensuring timely compilation and submission of all and activity achievements in compliance with cluster formats.
  • Produce visual products such as tables, infographics, graphs, and performance summaries.
  • Maintain updated beneficiary tracking systems for project activities.
  • Coordinate with MEAL team to contribute to real-time monitoring tools and process improvements.
  • Ensure timely sharing of datasets with PM and MEAL based on reporting deadlines.

 5 – Archiving & Documentation Management

  • Establish and maintain a clear archiving system (soft & hard copy) for all project data.
  • Create structured folder systems for activity reports, attendance sheets, HF reports, and verification toolss.
  • Ensure all raw data, cleaned datasets, and final versions are properly labeled, dated, and secured.
  • Maintain systematic storage of Means of verification (MoVs).
  • Archive previous reporting cycles with traceability for future audits and donor verification.
  • Ensure archived files are easily retrievable when requested for monitoring, audit, verification, or learning.

6 – Coordination & Additional Tasks

  • Work closely with MEAL, field teams, and partners on data flow and reporting timelines.
  • Participate in capacity building for field staff on data collection and reporting.
  • Perform any other tasks assigned by the line manager.

REQUIRED QUALIFICATIONS, EXPERIENCE AND SKILLS:

  • Bachelor’s degree in information management, Statistics, IT, or related field.
  • Minimum 2 years of relevant experience in data management within humanitarian programs.
  • Strong skills in Excel (advanced), KoBo/ODK, and database systems.
  • Experience with data visualization or statistical tools (PowerBI, SPSS).
  • Demonstrated accuracy, attention to detail, and document management discipline.
  • Ability to manage large datasets and reporting under tight deadlines.
