The Field Medical Foundation (FMF) has been operating in Yemen for since 2012 during even the most dangerous peak of the conflict in the region. Today we have helped humanitarian aid reach the hands of more than 9 million vulnerable people in Yemen to help them not only to survive but also to rebuild their lives. PROJECT OBJECTIVES:
The project aims to contribute to a favorable protection environment for refugees and asylum seekers in South Yemen by supporting refugee documentation, enhancing coordination with local authorities, providing comprehensive legal services, offering individual and collective response services for vulnerable individuals, promoting community-based protection mechanisms, and strengthening the resilience of persons with specific needs.
POSITION SUMMARY:
The Information Management Assistant is responsible for Information Management and technical, monitoring and reporting activities of the project. This incumbent will effectively manage the information management team and provide support for all project staff. The role requires identifying staff capacity needs and technical assistance needs and contributing to capacity strengthening and required interventions to support quality platform coordination.
POSITION DESCRIPTION / KEY RESPONSIBILITIES:
- Support the data management process, including data collection methodology such as kobo tool box, data processing and data analysis, ensuring accuracy of quantitative and qualitative data and addressing inaccuracies as they arise.
- Conduct regular coaching on the job to the field team to provide continuous support and oversight on data management (entry and collection).
- Maintain the quality of data by conducting cross-checks using source documents, identify data errors and address it with the relevant project staff.
- Flag any missing information/documents or errors to project relevant project staff and proactively follow up to retrieve this information/document.
- Support the operation in the analysis of processed data and information and perform data quality and consistency control.
- Support and contribute to the development of a data management system through documentation, implementation and coordination of standardized information flows.
- Verify data quality (completeness, timeliness), identify gaps in information management, recommend corrective actions, and provide timely feedback to project staff related to data quality issues such as accuracy and completeness for timely modification.
- Support to develop more sophisticated technologies and/or methodologies to improve the efficiency of analysis, and exercise creativity in analyzing incoming data to better respond to or highlight emerging needs.
- Contribute to productions of maps & other geographic information products in coordination with project teams as well as charts and info-graphics materials.
- With the support of relevant project staff, provide guidance to the field teams on how to best utilize the protection tools to ensure that the data collection meet high quality and best practice standards.
- Work closely with Reporting staff to suggest and develop reporting processes and appropriate formats for project staff, and monitor and ensure accuracy of data collection to meet all quality reporting requirements, and support the reporting staff to draft weekly/monthly/quarterly and annual reports.
- Perform any other tasks as assigned by the supervisor.
QUALIFICATIONS AND REQUIREMENTS:
- A university degree in Information Management, Computer sciences, or any other subject or any related field.
- 1 year of experience working in Information Management.
- Prior familiarity with the implementation of protection projects preferred (sufficient technical knowledge).
- High Commitment to time and deadlines
- Excellent Computer skills: MS Word &especially Excel.
- Experience in providing training and support to project staff.
- Strong conceptual and practical understanding of protection issues and specifically FMF’s approach to and role in protection work including analysis and advocacy.
- Analytical skills and strategic thinking including experience developing analysis and strategies for protection.
- Strong understanding of humanitarian principles and protection guidelines, and familiarity with case management principles, standards and procedures.
- Native Arabic and strong English skills are essential.
- Readiness to commit and adhere to the values, mission and vision of FMF.
- Be available for regular trainings provided by FMF and support in identifying staff training needs.
- Attention to details and ability to communicate professionally and effectively – practical and problem-solver.
- Able to ensure quality delivery in stressful environment, punctuality and respect for rules and procedures, and to adhere to deadlines.
- Ability to deal with heavy work pressure.
- Documented results related to the position’s responsibilities.
