Food Security Logistics Officer

Key responsibilities and duties

–        Direct supervision of FDPs (stores) conditions, rent and safety… etc.

–        Supervise the work of FDP monitors, guards and scoopers.

–        Directly manage supply chain of food commodities from the donor.

–        Assure all food quantities fully received according to donor plans.

–        Accurately manage in/out stocks of the field distribution points (FDPs).

–        Assure accurate management of way bills including correct calculations, reporting, filing and on time sending of originals back to transporters.

–        Support FDP monitors and assist in building their capacity.

–        Provide daily up-to-date data about quantities in the FDPs during food receiving and distribution.

–        Solve any problem upon occurrence with close coordination of project manager and deputy.

–        Ensure enough place to receive food commodities in FDPs with all relevant requirements of food storage according to donor standards.

–        Continuous follow up and coordination with donor concerning food commodities dispatch, loses and damages… etc.

–        Co-ordinate the supply of food and logistics support in the food distribution points (FDPs) in Lahj.

–        Providing the monthly FDP logistic and clerical needs for distribution.

–        Selecting and follow up on and advising on FDPs conditions in coordinating with the food Security Officer and FDP Monitors.

–        Implementing procurement duties.

–        Manage all contract agreements and leases of FDPs

–        Follow logistic procedures to ensure compliance with donor regulations

–        Ensure all procurement activities are fully and transparently documented through Invoices and Delivery Reports

–        Ensure appropriate storage of records of procurement documentation including quotations, requisitions, purchase orders, goods received notes and receipts

–        Paying the rent of the field distribution points (Stores).

–        Ensure the proper management of FDPs and participate in physical regular check of available food stuffs in the Stores by inventory

–        In coordination with the WFP, ensure proper and timely transportation of food to the Stores

–        Manage the FDPs cleanliness and organizing

–        Ensure security of food received in the FDPs

–        Accurately maintain the logistic filing systems ensuring rigorous adherence to logistic processes

–        Prepare contracts; negotiate and analyze contract content

–        Provide briefings and debriefings for field staff.

–        Provide monthly staff assessment for supervised staff.

Reporting & Supervision:

–        Directly Supervise FDP Monitors in all districts targeted by the food security project.

–        Prepare Daily report on the Available amounts of food in all FMF FDPs.

–        Prepare Daily report on Distributed amounts of food in all FMF FDPs.

–        Keep Daily up-to-date Way Bill Summary Report for every WFP GFD plan.

–        Prepare a monthly report on all logistics activities to the project manager.

–        Ensure accurate and on time logistic reports by FDP Monitors and bear full responsibility of any mismanagement or failure.

–        Ensure sound FDPs management and smooth opening and closing inventory data management.

Skills and expertise required:

–        BA degree in a relevant field.

–        Previous experience in logistics preferably in food security in an international organization.

–        Excellent skill in MS. Excel.

–        Excellent reporting skills with high ability in calculation and data management skills.

–        Very good in English language.

–        Committed, highly organized and respect time.

–        Ability to use Email and familiar with electronic correspondence.

–        Able to work under pressure.

–        Familiar with field work, preferably in Lahj districts.

Food Security Logistics Assistant 

Key responsibilities and duties

–        Assist in supervision of FDPs (stores) conditions, rent and safety… etc.

Food Security Officer

Key responsibilities and duties

–        Develop food distribution plans and timetables in coordination with district coordinators under close supervision from project manager and Deputy.

–        Prepare accurate lists of targeted areas/villages/neighborhoods for food distribution with detailed justifications in close collaboration with the district coordinators.

–        Directly supervise field processes to ensure effective and smooth food distribution in the FDPs in the targeted districts.

–        Develop a comfortable, smooth and organized mechanism for food distribution to beneficiary households in collaboration with the project manager and deputy project manager.

–        Follow up on sound and comfortable environment in the food distribution points

–        Responsible for identification the registered beneficiary households lists in collaboration with the data entry assistant.

–        Issue stock requests according to daily distribution plans.

–        Plan and follow up the activities of the food distribution.

–        Prepare the budget of daily labour wages (organizers, clerks and porters… etc.).

–        Paying the wages of daily labour and ensure proper invoicing in close collaboration with the finance department.

–        Directly supervise the work of District Coordinators, distribution clerks, organizers,

–        Conduct regular meetings with beneficiaries, community leader committees, and partners on the food distribution arrangements.

–        Follow up on the quality control of food storage in the FDPs.

–        Schedule regular visits to beneficiaries of food security and FDPs.

–        Active liaison with relevant stakeholders in the field to avoid any conflict.

–        Prepare monthly report on the achieved duties and progress highlighting faced problems and solutions implemented.

–        Train staff on relevant subject.

–        Perform any assigned task by the project management.

–        Provide briefings and debriefings for field staff.

–        Provide monthly staff assessment for supervised staff.

–        Provide daily food distribution report during distribution period.

Data Entry/IT Assistant

Key responsibilities and duties

Date Entry Duties:

–        Prepare accurate lists of beneficiary households’ data in MS. Excel or Access.

–        Cross-check and validate beneficiary households’ data before and after being processed.

–        Prepare, design and print ration cards for beneficiary households.

–        Mange issuing ration cards according to number of HHs.

–        Manage accurate and sound records of ration cards issued with returned project copies/slips of ration cards.

–        Insure up-to-date inclusive data of HHs, targeted areas, other demographic data.

–        Prepare accurate data on targeted districts (villages, population, targeted areas with food distribution… etc.)

–        Prepare data statistics on food distribution.

–        Proper management of had copies of beneficiary households’ lists and proper filing of them.

–        Proper management of software data and files of beneficiary households.

–        Make various registration forms, sheets, survey outputs, post-distribution monitoring forms, logbooks, field assessment forms and other data or inputs from field teams into set databases.

–        Provide reports to Project Manager and track basic statistics and trends from the data, in collaboration with the team.

–        Provide updated figures and information as requested by the Project Manager.

–        Store completed documents in appropriate locations (Soft & Hard copies (.

–        Maintain all computers, printers and networks.

–        Maintain data entry backup on regular basis (hard & soft. (

–        Perform any other office work such as translating, reply to emails and reporting.

–        Documentation of project including taking photos.

–        Design relevant stamps, cards, banners and brochures for the project.

–        Prepare and manage inclusive media coverage for the project activates.

–        Manage the project page on facebook.

–        Provide up-to-date information on the project for the FMF website.

–        Any other duties as required.

Skills and expertise required:

–        BA degree in a relevant field.

–        Previous experience in data entry preferably in food security project.

–        Excellent skill in MS. Access and/or Excel.

–        Excellent reporting skills with high ability in calculation and data management skills.

Monitoring & Evaluation Officer

Key responsibilities and duties

–        Prepare pre and post distribution evaluation reports to ensure compliance with rules and regulations.

–        Monitor the work during food distribution days and prepare detailed report on the whole process.

–        Conduct regular field visits to ensure food items are distributed to targeted beneficiary households.

–        Ensure all reports, filing, detailed data, and documentation are fulfilled by the project working team.

–        Make random field surveys and conduct field interviews with beneficiary households to ensure transparency and accuracy of registration and fair food distribution processes.

–        Prepare written remarks and suggestions on improving the registration and food distribution processes.

–        Help in evaluating the work of the project team

–        Ensure all donor standards are implemented by the project team concerning food storage, distribution, and documentation… etc.

Skills and expertise required:

–        BA degree in a relevant field.

–        Previous experience in food security project duties preferably in an international organization or/and experience in monitoring and evaluation duties.

–        Excellent skill in MS. Word and Excel.

–        Excellent reporting skills with high ability in calculation and data management skills.

–        Very good in English language.

–        Committed, highly organized and respect time.

–        Ability to use Email and familiar with electronic correspondence.

–        Able to work under pressure.
